CONKERS MAGICAL EARTH ACADEMY Terms and Conditions — Classes and Holiday Clubs

Please read these terms carefully before booking. By completing a booking with Conkers Magical Earth Academy, you confirm that you have read, understood and agreed to these terms and conditions in full.

  1. ABOUT US

Conkers Magical Earth Academy is a nature-based creative education programme for children, based at Upton Country Park, Dorset. We are part of the Rock and Rose ecosystem, founded and led by Lisa.

  1. BOOKINGS

2.1 All bookings must be made in advance. Places are limited and allocated on a first come, first served basis upon receipt of payment.

2.2 A booking is confirmed only once full payment has been received. Until payment is received, your place is not guaranteed.

2.3 By booking, you confirm that all information provided about your child is accurate and up to date, including any medical, dietary or additional needs disclosed at the time of booking.

  1. PAYMENT

3.1 Full payment is required at the time of booking unless a payment plan has been agreed in writing with us in advance.

3.2 Prices are as stated at the time of booking. We reserve the right to update our pricing at any time; changes will not affect confirmed bookings.

  1. CANCELLATION AND REFUND POLICY

4.1 All bookings are non-refundable.

We put significant preparation, resourcing and care into every session and holiday club we offer. Because of this, we are unable to offer refunds for cancellations made by the parent or guardian.

4.2 We understand that life brings the unexpected. If you need to cancel your booking and believe your circumstances are exceptional, please contact us directly at hello@rockandrose.one to discuss your situation. We will always listen and will do our best to find a solution where we genuinely can.

4.3 Any decision to offer a credit, transfer or partial refund under exceptional circumstances is entirely at our discretion and will be considered on a case by case basis. This does not constitute a general entitlement to a refund.

4.4 We strongly recommend that you take out appropriate insurance if you are concerned about unforeseen circumstances affecting your ability to attend.

  1. TRANSFERS AND DEFERRALS

5.1 If you are unable to attend a booked session, you may request a transfer to an alternative available date, subject to availability. Transfer requests must be made in writing to hello@rockandrose.one at least 7 days before the original booking date.

5.2 Transfers are offered at our discretion and cannot be guaranteed.

5.3 Transfers are not available for holiday club bookings within 14 days of the start date.

  1. CANCELLATION BY CONKERS MAGICAL EARTH ACADEMY

6.1 In the rare event that we need to cancel a session due to circumstances beyond our control (including but not limited to severe weather, site access issues, facilitator illness or safety concerns), we will notify you as soon as possible.

6.2 Where we cancel a session, you will be offered either a transfer to an alternative date or a full credit to use against a future booking. Refunds in this circumstance will be issued only where no suitable alternative can be offered.

6.3 We are not liable for any additional costs incurred as a result of a cancellation made by us, including travel or childcare costs.

  1. HEALTH, SAFETY AND WELFARE

7.1 The safety and wellbeing of every child in our care is our absolute priority.

7.2 You must inform us in writing before your child's first session of any medical conditions, allergies, additional needs, or anything else we need to know to keep your child safe and supported. This information must be kept up to date for the duration of your child's time with us.

7.3 If your child is unwell on the day of a session, please keep them at home. We ask that children do not attend if they have had a fever, sickness or diarrhoea within the 48 hours prior to a session.

7.4 We reserve the right to refuse attendance if we believe a child is too unwell to participate safely.

7.5 In the event of a medical emergency, we will administer appropriate first aid and contact the emergency services and the parent or guardian immediately. By booking, you consent to emergency first aid being administered if required.

  1. COLLECTION AND DROP-OFF

8.1 Children must be dropped off and collected by a named adult. Please ensure your collection arrangements are confirmed with us at the time of booking.

8.2 If someone other than the registered parent or guardian will be collecting your child, you must notify us in writing in advance. We will not release a child to an unregistered person.

8.3 Late collection may incur an additional charge. If you are running late, please contact us immediately.

  1. BEHAVIOUR AND PARTICIPATION

9.1 Conkers is a space of wonder, respect and safety for all children. We ask that all participants are supported by their families to engage with our community values.

9.2 We reserve the right to remove a child from a session if their behaviour poses a risk to themselves, other children or our facilitators, or significantly disrupts the session. In such circumstances, no refund will be offered.

9.3 Any concerns about behaviour will be communicated to parents or guardians directly and with care.

  1. PHOTOGRAPHY AND MEDIA

10.1 We may occasionally take photographs or video footage during sessions for use on our website and social media channels.

10.2 If you do not consent to your child being photographed or filmed, please inform us in writing before their first session. We will record your preference and ensure it is respected.

10.3 We will never share images that identify individual children without explicit parental consent.

  1. LIABILITY

11.1 Conkers Magical Earth Academy takes all reasonable steps to ensure a safe environment for every child in our care. However, we cannot accept liability for loss, damage or injury except where caused by our own negligence.

11.2 Children participate in nature-based and creative activities. By booking, you acknowledge that some activities involve an element of outdoor or physical engagement and accept this as part of the programme.

  1. CHANGES TO THESE TERMS

12.1 We reserve the right to update these terms and conditions at any time. The version in effect at the time of your booking will apply to that booking.
